Jamie, our AI finance agent: Sebastian makes the calls

This is one finance role at HKR, and the client is us. Jamie, our AI finance agent, runs fixed checks on a clock: it looks for new payments 14 times a day, keeps 27 account balances in one list and syncs Zoho Books into our reporting database 4 times a day. Sebastian Popa, our COO and General Counsel, makes the calls.

Jamie reads the books and cannot change them. A person marks every payment paid.

The Challenge

Five places to look, and no single answer

Zoho Books
Wise
Revolut
Banca Transilvania
Google Sheets
One place I can trustEach source on its own schedule. Each number with its age.

HKR’s money sits in 27 account balances across 3 companies and 4 currencies. Invoices live in Zoho Books. Balances sit at Wise, Revolut and Banca Transilvania, and the rest lived in Google Sheets. Banca Transilvania sends no live feed of company payments: it texts a phone when money lands.

Before Jamie, we checked the bank apps and the texts when someone had time, matched each payment to an invoice by hand and kept the balances in a sheet. Reports read numbers exported from a paid dashboard.

The risks were quiet ones. A late bill could slip past its month. A payment from a client’s parent company could match no invoice. Money moved between two HKR accounts could look like a client payment. Each one needed a person to notice it.

The Solution

Start with one job. Add the next when it holds.

Likely match (FIFO, partial): clears the two oldest unpaid invoices of this client in full, INV-000412 (Apr) and INV-000468 (May), leaving $4,500.00 toward INV-000523 (Jun).

Amount doesn’t match a clean invoice total; the client is a known partial payer. FIFO allocation above — confirm before marking paid in Zoho (mark-paid is manual).

Jamie proposes a match for each new payment, and a person confirms the uncertain ones. Jamie can read Zoho Books and cannot write to it, so every payment is marked paid by a person.

Most of Jamie’s daily work is fixed checks that run on a clock. Each one is a rule a person can read and audit. The AI model answers questions in Slack and rebuilds the forecast when someone asks.

Each check closes a gap a person used to watch for:

  • A late bill still counts. The ledger sync re-reads 45 days back every day, and the audit on the 18th re-reads three months.
  • A payment from a client’s parent company still finds the client’s invoice, when the parent company is on Jamie’s list.
  • Money moved between two HKR accounts stays out of the client payments.
  • A subscription that stopped billing is flagged, and a vendor that only looks cancelled is caught before it counts as a saving.
  • A new bank account waits until a person names its owner.
  • An amount that does not match an invoice total goes to a person.

The first automated check ran on 16 February 2026, before the agent had a name. Hourly payment checks started on 8 April, 51 days later. On a client’s role, our plan puts AI on the routine work by day 60.

Zoho sync: 13 invoices, 0 expenses updated

Invoices:

  • Waystar RoyCo — USD 18,400.00 (sent)
  • GoJo — USD 9,750.00 (draft)
  • Pierce Global Media — USD 12,200.00 (draft)
  • Vaulter — USD 6,300.00 (draft)
  • ATN — USD 24,600.00 (draft)

As of 23 October 2026:

  • 14 checks a day for new payments, from 7 AM to 8 PM. Before Jamie, we checked when there was time.
  • 1 paid tool cancelled: HKR’s paid P&L dashboard, on 13 July 2026, once our own P&L matched it line for line.
  • 27 account balances across 3 companies and 4 currencies in one list, in place of the hand-kept bank sheet. Wise and Revolut refresh 14 times a day, Banca Transilvania from its daily statement, and 3 balances are entered by hand.
  • 4 ledger syncs a day from Zoho Books into our reporting database.
“I used to check every bank app to answer one question: did they pay? Now Jamie checks for me and tells me when it is not sure.”

The Outcome

The checking moved to Jamie. The calls stayed with Sebastian.

🚨 4 Overdue Invoice(s)

  • Pierce Global Media (INV-000581) — USD 12,200.00 — due 2026-07-20 (16d late)
  • ATN (INV-000586) — USD 24,600.00 — due 2026-07-30 (6d late)
  • Vaulter (INV-000587) — USD 6,300.00 — due 2026-07-30 (6d late)
  • Waystar Studios (INV-000612) — USD 4,210.00 — due 2026-08-01 (4d late)

Note: ATN accounts for ≈52% of total overdue exposure ($24,600.00 of $47,310.00).

A person still chases every overdue invoice and names the owner of every new bank account.

We ran this split on HKR’s own finance first: Jamie takes the repeat checks, and one accountable person keeps the judgment. On your team: a full-time HKR employee for the finance role you want to fill. By day 90, AI watches every payment and matches the clear ones, and they make the calls.

Ask to meet Sebastian when you get in touch. He will show you how he runs it.

Who does what.
